We expect all volunteers to lead with empathy, cultural humility, and deep respect for intersectional identities. This is a zero-judgment, highly affirming space celebrating Black queer and trans joy, wellness, and harm reduction.
Dress Code & Weather Prep: Jeans and closed-toed shoes are mandatory for safety.
Dress for the weather: August can get hot! Please wear breathable, light-colored tops, and stay hydrated throughout the day.
Enjoy the Festivities: We want you to celebrate with us! Volunteers are encouraged to take part in the health fair, check out the resources, and attend workshops, provided it is coordinated and approved with your team lead so we keep our stations covered.
Volunteer Roles 1. Registration Team (3 Volunteers) Role Overview: As the first point of contact, you set the warm, culturally affirming tone for the health fair. You will greet community members, manage check-ins, and distribute event resources. Key Responsibilities: Warmly welcome community members, partners, and guests.Manage physical or digital sign-in sheets and registration forms.Distribute health fair programs, swag, and directional info.
Shift Note: Requires early arrival to set up the registration desk before doors open at 9:00 AM.2. Workshop Timekeepers & Coordinators (2 Volunteers) Role Overview: You keep our educational and wellness workshops running smoothly. You will support presenters and manage room capacities so the schedule stays strictly on track. Key Responsibilities: Liaise with workshop presenters and ensure they have water/setup support.
Welcome attendees to workshop rooms and assist with seating. Provide polite 10-minute, 5-minute, and wrap-up cues to presenters.
Shift Note: Active primarily during scheduled workshop hours.3.
Set-Up & Break-Down Crew (3–5 Volunteers) Role Overview: You are the physical backbone of the event. You will transform the UnitedHealthcare site into a vibrant, welcoming space in the morning and safely pack everything away at the end of the day. Key Responsibilities:
Set-Up: Unload event supplies, arrange vendor tables/chairs, and set up signs.Mid-Day Float: Keep pathways clear and assist vendors with quick logistical needs.
Break-Down: Help vendors pack up, fold tables/chairs, and ensure the space is left clean.
Requirements: Ability to lift up to 25–30 lbs and stand/move for extended periods.
Shift Note: Requires early arrival (e.g., 7:30 AM) or staying for final wrap-up after 6:00 PM.
